After you’ve added paint details to a preview, Paintsight generates an approval link you send to the homeowner. The homeowner reviews the preview image along with the exact color, color code, surface, and sheen — then confirms their selection with a digital signature. That signature is saved on the job record and shared across your estimator, scheduler, and crew, so everyone is working from the same approved color.

How approval works

When you send an approval link, the homeowner receives a page that shows them:
  • The preview image of their home or surface with the selected color applied
  • The paint brand and color name
  • The color code (e.g., “SW 6208” or “HC-154”)
  • The surface being painted (e.g., exterior siding, kitchen cabinets)
  • The sheen level
  • The date of the preview
The homeowner reviews each item and submits their confirmation. Their sign-off is timestamped and saved automatically — no account or app required on their end.

Complete the paint details

Make sure the paint brand, color name, color code, sheen, and surface are all filled in on the preview. The approval link includes all of these fields, so incomplete details will appear incomplete to the homeowner.

Generate the approval link

From the preview, select Send for approval. Paintsight generates a unique approval link for that preview.

Send the link to the homeowner

Copy the link and send it to the homeowner via text, email, or whatever channel you use for the job. The link opens directly in any browser — no app download needed.

Homeowner reviews and confirms

The homeowner opens the link, reviews the preview image and all paint details, and submits their confirmation. Paintsight records their sign-off with the date.

Confirm receipt in Paintsight

Once the homeowner signs, the job record updates automatically. You’ll see the approval status change on the preview. The record is now available to your estimator, scheduler, and crew.

What is saved after approval

A completed approval saves the following to the job record:
  • Preview photo — the image the homeowner saw when they approved
  • Paint color and color code — the exact color reference for the crew
  • Surface — the specific area that was approved for painting
  • Sheen — the finish level confirmed by the homeowner
  • Date — the timestamp of the homeowner’s sign-off
This single record is visible to your estimator, scheduler, and crew, so there’s no need to relay color decisions manually or search through email threads.
Approval does not replace physical paint samples. Final color on the wall may vary due to lighting conditions, sheen level, screen settings on the homeowner’s device, and the texture or condition of the existing surface. For colors where accuracy is critical, provide a physical sample in addition to the digital preview.
The homeowner does not need a Paintsight account to sign the approval. The link opens in any standard browser on any device — smartphone, tablet, or desktop.
